Website Instructions

The College of Business website is an external-focused communication tool designed to promote the College of Business.  Key audiences for the site include prospective students and parents, current students, faculty, staff, alumni and business partners.  Please keep this in mind as you create and publish web content.  Website "how-to" instructions are below.  Overall website guidelines can be found in the Faculty Handbook.

Populate Faculty and Staff Bios

The College of Business requests that all faculty and staff complete a short website biography that appears in the Faculty and Staff section of the website.  The director of external relations will take your photo and add it to the bio page.

  • Select your name in the bio section
  • Click on the pencil to log in
  • Type in your name, title and 3-4-sentence bio. The bio can include your role or expertise area, your responsibilities and/or a highlight or overview of your background.
  • Optional:  Put your Vita online by adding special sections
  • Type in the title of the special section
  • Type in the content of that section; use toolbar as needed
  • If you are pasting from Word, be sure to click on the arrow to the right of the clipboard on the toolbar and select “Paste from Word” or Control D
  • If you want to link to another webpage, highlight what you want linked and then select the globe/link from the toolbar and type in the URL you wish to link to.
  • Add another section until you are finished
  • Call the director of external relations if you need help or formatting assistance
  • Call the director of external relations to schedule 5 minutes to take a head and shoulder shot for the bio photo (which they will implement online)

Put Your Syllabi Online

The College of Business requests that faculty put their course syllabi on-line in a standardized manner. This will make all syllabi available where students can retrieve them easily by clicking on hyperlinks in the college's Course Materials page.

Please note:

·        Anything put in the \\cob-storage\classes folder or its subfolders will immediately be available through the web. Do not put copyrighted information there unless you have a signed permissions release from the copyright holder. Also, do not put any information there that you want to keep private, such as student grades. If you want to keep information private, use the Blackboard system instead--it includes built-in security features such as requiring students to login prior to seeing course materials.

·        Oregon State University and the College of Business have a graphic identity program that is not optional and it has specific requirements for web page design.  The College has developed a header that should be inserted at the top of each syllabus page. The header file is stored at \\cob-storage\classes\header.htm.  If you use Microsoft Word to edit your syllabus page, then open your syllabus, move the cursor to the top of the page, and give an Insert - File command.

Information Services maintains a history of past syllabi. This is needed, for example, when a student transfers to another university and that university wants to know what was taught in BA211 when the student took the course in Spring 2001.

Each term Information Services makes a backup copy of the \\cob-storage\classes folder and names the backup copy by appending the term and year. For example, the backup copy for Spring 2005 will be named \\cob-storage\classes-Spring2005. This approach eliminates the need to maintain a paper-based backup copy of syllabi. Older syllabi paper copies are kept by the assistant to the dean. 

Get an Event Put on the Website Calendar

Send your event title, date, duration and location to the director of external relations and it will be added to the calendar.

 

Use COB PowerPoint Templates

The College of Business encourages the use of COB PowerPoint Templates found at \\cob-storage\common\COB PowerPoint Templates.  If you would like a new design template created that coordinates with the COB look and feel, please contact the College of Business graphic designer.  OSU PowerPoint templates are also available. 


 

Get Permission for Your Student to Create or Edit a Web Page

E-mail the director of external relations the student name and club affiliation.  The director of external relations will coordinate necessary permissions and set a time with the student to show how the website works.

 

Create and Send Out an E-Newsletter

Departments, options, programs or individuals that want to send out a College of Business e-newsletter to a certain alumni, student, business partner or professional group can work with the director of external relations to do so.

 

Design

  • Write the content and submit to the director of external relations.
  • Work with the COB graphic designer to create a design that is compatible with the COB look and feel.
  • The COB graphic designer will incorporate the content into layout and submit to you for review.

Distribution List

  • The e-newsletter system is accessed through the website.  By using this system, your e-news can be targeted to all COB alums (for which we have e-mail addresses) and business deans across the country OR to some specific regional alumni areas such as Portland, Bend, Corvallis/Albany, etc.  If you have a specific list of recipients, the director of external relations can coach you or a student on entering them into the e-newsletter system for current and future use.

Send

  • Forward close-to-final newsletter for review by the dean and director of external relations
  • Graphic designer will send out the e-newsletter on your behalf

Create a Web Survey

The Business Solutions Group has a free web survey available for COB use.  The web survey is user-friendly, but if you need more detailed instructions than below please see Information Services or the director of external relations.

  • Enter Survey Admin from web survey page
  • Enter Password and User Name
  • Name your survey
  • Pick a top graphic bar
  • Write a description of the survey
  • Insert the start and end date of the survey
  • Click choices for end page and e-mail notification of survey completion
  • SAVE
  • Enter Edit Questions
  • Create your questions
  • Enter Preview Survey
  • Enter Manage Owners to input the owners you would like to have access to the survey
  • Take the survey (dry run)
  • Enter Manage Data to download survey responses and verify that is the format you would like the data.

Edit a COB Site Web Page

To request authorization to edit a section of website content, please contact the director of external relations.  Permissions are usually given for club leaders, ancillary programs, Student Services and others pending ongoing need and the understanding that COB website design and content guidelines are followed.

  • Once you have authorization to edit a section of website content, you click underneath the bottom blue line of the website in the lower right hand corner. You won’t see anything except a hand where your pointer was. Click and the login box will appear.
  • If you want additional pages or left navigation titles created, please request them from the director of external relations and they will be set up for you to add content.
  • Once inside the content management system, it is very user-friendly and similar to working in Word.  However, ANYTHING YOU EDIT OR CHANGE ON A PAGE WILL BE “LIVE” THE MOMENT YOU “SAVE” THE PAGE.
  • If you paste content in from Word, use the Clean Formatting button to get it into the standard website fonts/style.
  • To link to another page, highlight the word/s you want linked and click on the earth/link button in the toolbar and type in the URL you wish to link to.
  • If you want to add a photo or graphic to the page, press the mountain/sun button and browse for the graphic. Upload the graphic, select it and then insert it into the web page.
